Terms and Conditions


Your contract is with Olivia Kehoe (“we”, “us” and “our” in these Terms and Conditions) for the property known as Field House Cottage (the “Property”). References to “you” or “your” are references to the person making the booking and all members of the holiday party. The contract between us is effective once we have processed the deposit and is subject to these Terms and Conditions.

1. Paying for your booking

Bookings are confirmed on receipt of the deposit of 20% of the rental price. The deposit must be paid within 3 days of the booking being placed. The balance of the rental will be due for payment 4 weeks prior to the arrival date. If you fail to make payment in full and on time we may treat your booking as cancelled by you.

2. If you cancel or amend your booking

If you need to cancel or amend your booking for any reason, including – but not limited to – illness (including Covid-19), self-isolation, quarantine, jury duty, military service, family emergencies, change in personal or work circumstances and travel delays, you must notify us by phone and email. A cancellation will not take effect until we receive written confirmation from you.

If you cancel your booking more than 4 weeks prior to the arrival date, we will retain the deposit. If you cancel your booking between 4 to 2 weeks prior to the arrival date, you will be liable to pay 50% of the rental. If you cancel your booking less than 2 weeks prior to the arrival date, we reserve the right to retain the rental. In these circumstances, if we are able to secure an alternative booking for the Property, we will refund the rental less £50 to cover administration and re-marketing, and any difference in price between your booking and the replacement booking.

You are strongly recommended to take out travel insurance for all members of your holiday party to cover these eventualities. If you choose not to take out travel insurance, then you accept responsibility for any loss that you may incur due to your cancellation.

3. If we cancel or amend your booking

We would not expect to have to make any changes to your booking but sometimes problems occur beyond our control and we have to make alterations or, very occasionally, cancel bookings.

If this does happen, we will contact you as soon as is reasonably practical and inform you of the cancellation or the change to your booking. If it is necessary to cancel your booking, we will refund any money you have paid us. You shall have no further claim against us.

In the event that the Property or your given address is put under government restrictions (national / regional / local lockdown) rendering you unable to travel and stay overnight for the period of your booking, you will be refunded in full.

4. Your holiday accommodation

You can arrive at the Property from 4pm on the arrival date of your holiday and you must leave by 10am on the departure date. You and the members of your party must only occupy the Property as a private holiday let and, as such, no assured tenancy or other statutory security of tenure will arise now or at the end of the holiday period.

Keys to the Property will be provided on arrival and must be returned on the departure date. If you lose the keys or fail to return them, you will be required to pay all costs and charges incurred in replacing the keys.

You must keep and leave the Property and its fixtures, fittings, furnishings and contents in a clean and tidy condition and not cause any damage to the walls, doors or windows. You must not use the Property for any dangerous, offensive, noisy or illegal activities or do anything that may be reasonably considered to cause a nuisance or annoyance to us or other neighbouring properties. Smoking (including vaping) is not permitted in the Property. Please notify us of any breakages or damage. Charges may be made for replacement, repair or extra cleaning (reasonable wear and tear excluded). Rental includes a one-time bedding and towel set-up. Towels and bedding are not to be taken from the Property.

The Property is not on mains water/waste and is served by a borehole and septic tank system so nothing other than toilet paper should be flushed at any time. If it is found that any improper materials have been flushed and clog the system, you may be charged for repairs.

We shall be allowed access to the Property at any reasonable time during your stay for the purpose of inspection, essential repairs, maintenance or in an emergency.

You cannot allow more people to stay in the Property than expressly authorised, nor can you significantly change the makeup of the party during your stay, nor can you take your pet into the Property unless it has been arranged in advance. If you do so, we can refuse to hand over the Property to you, or can require you to leave. We will treat any of these circumstances as a cancellation of the booking by you.

If you fail to keep to these Terms and Conditions, we may terminate the agreement immediately and require you and your party to leave the Property immediately. In these circumstances, we will not refund any money you have paid in respect of the rental and will not be liable to you for any consequential costs.

5. Complaints

Every effort has been made to ensure that you have an enjoyable and memorable holiday. If however, you have any problems or cause for complaint, it is essential that you contact us promptly so that we can try to resolve it.

6. Liability

We accept no liability for any accident, damage, loss, injury, expense or inconvenience to you or any member of your party or any vehicles or possessions, which may be suffered, incurred, or in any way connected with the Property rental. You must take all necessary steps to safeguard yourselves and your personal property.

We cannot accept liability for the breakdown of mechanical equipment such as pumps and boilers or the failure of public utilities such as electricity. If such matters arise during your stay at the Property, we will seek to resolve the matter.

The provision of wireless broadband internet access is a complimentary facility. We cannot accept liability for loss of coverage or quality. Please note that coverage can be weak in places due to the very old thick walls at the Property.

Please note the Property is in a rural location and as such can be subject to environmental conditions beyond our control.

7. Your personal data

To process your booking, we need to collect certain personal data from you and or members of your party. Data gathered during the course of the booking may be held on computer. By providing such data to us, you confirm that you have permission from those about whom the data relates and for us to use their personal data in this way.

We will not share personal data about you or members of your party to anyone else, unless we reasonably believe that we are required to do so by law.
